Terms & Conditions – Fluent Minds
1. Services
Fluent Minds provides Swedish language coaching in the form of private lessons, lesson packages, trial sessions, and group formats such as Fika Friday. All services are delivered online unless otherwise stated.
2. Booking & Payment
All lessons and packages must be paid in advance. A booking is considered confirmed once payment has been received.
3. Cancellations & Rescheduling (Private Lessons)
Lessons may be canceled or rescheduled up to 24 hours before the scheduled start time.
- Cancellations made at least 24 hours in advance are refunded in full or credited.
- Cancellations made less than 24 hours before the lesson, or no-shows, are charged in full.
4. Lesson Packages – Validity & Refund Policy
Lesson packages are valid for 12 months from the date of purchase, unless otherwise stated.
Clients are responsible for booking and attending their lessons within this validity period.
Refunds for Packages
Refunds are subject to the following conditions:
- Refunds may be requested only within the first 3 months following the date of purchase.
- Refunds apply only to unused lessons.
- Lessons that have already taken place are non-refundable.
After the first 3 months, no refunds will be issued, even if some lessons remain unused.
However, unused lessons may still be booked and taken at any time within the 12-month validity period.
Refund requests made after the refund window has closed will not be accepted, regardless of reason (including inactivity, change of plans, travel, or lack of availability).
By purchasing a package, the client acknowledges responsibility for scheduling and using lessons within the stated validity and refund periods.
If a refund is granted for remaining lessons, Fluent Minds reserves the right to terminate the coaching relationship and decline future bookings.
5. Group Sessions (Fika Friday)
Group sessions are sold as fixed packages (e.g. 4 participants over 4 consecutive weeks).
- Commitment to the full package is required.
- Missed sessions are not refunded or rescheduled.
- Groups are curated by level to ensure balanced participation.
6. Non-Transferability
Lessons, packages, and group sessions are personal and may not be transferred, shared, or given to another person.
7. Learning Materials & Intellectual Property
All materials provided by Fluent Minds (including word lists, lesson plans, exercises, and documents) are for personal use only.
Materials may not be shared, distributed, published, or used for teaching, commercial, or public purposes.
Unauthorized use or distribution may result in a fee or legal action.
8. Termination of Services
Fluent Minds reserves the right to refuse or terminate services at its discretion, including in cases of repeated no-shows, breach of these terms, or after a refund has been issued.
9. Communication
Clients are responsible for ensuring that their contact details are correct and for checking their email for booking confirmations and updates.
10. Governing Law
These Terms & Conditions are governed by applicable European Union and French law.

- Contract — when you become a client and we need to deliver coaching services

We keep your data only as long as needed for the purpose it was collected:
- Enquiries that do not lead to a coaching relationship: up to 24 months
- Active clients: for the duration of our coaching relationship and 7 years after the last invoice (for accounting purposes)
6. Who we share it with
We do not sell your data. We share it only with the service providers necessary to run our business:
- Email and calendar tools (e.g. Google Workspace)
- Payment processors (e.g. Stripe, PayPal) — for clients only
- Booking software (Amelia)
- Hosting provider (Bluehost)
All providers are bound by data processing agreements and process data only on our instructions.
7. Your rights
Under GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict processing
- Withdraw consent at any time
- Lodge a complaint with a supervisory authority (in Sweden: Integritetsskyddsmyndigheten, imy.se)

Fluent Minds offers Swedish language coaching delivered online via individual or small-group sessions. Coaching content is tailored to each client’s level, goals, and professional context.

Sessions are booked through fluentminds.me. Payment is due in advance of each session or package, in accordance with the price displayed at the time of booking. Invoices are issued on request.
3. Cancellation and rescheduling
Sessions may be rescheduled up to 24 hours before the scheduled start time at no charge. Cancellations made less than 24 hours in advance, or no-shows, are charged in full.
4. Refunds
Unused sessions in a prepaid package are refundable within 14 days of purchase, less the cost of any sessions already delivered. After 14 days, prepaid sessions are non-refundable but may be rescheduled within 6 months of purchase.
5. Intellectual property
All teaching materials, recordings, and resources provided by Fluent Minds remain the intellectual property of Fluent Minds. Clients may use them for personal learning but may not redistribute, resell, or share them publicly.
6. Limitation of liability
Fluent Minds provides coaching in good faith and to a professional standard but makes no guarantee of specific learning outcomes. Fluent Minds is not liable for indirect, incidental, or consequential damages arising from use of its services.
7. Governing law
These terms are governed by Swedish law. Any disputes will be resolved in Swedish courts.
8. Changes to these terms
We may update these terms. Material changes will be posted on this page with an updated “Last updated” date. Continued use of our services after changes constitutes acceptance.
